How to Compress a PDF Without Losing Quality
Make a PDF small enough for email or upload forms, step by step, without installing anything.

You try to attach a PDF to an email and it bounces. Or a job portal, a university form or a government site tells you the file must be under 2 MB or 5 MB. The fix is to compress the PDF, and in most cases you can do it in under a minute without installing anything and without your document becoming unreadable.
Why some PDFs are so large
A PDF that contains only text is usually tiny, often well under 1 MB even with dozens of pages. What makes a PDF heavy is almost always images: scanned pages, photos from a phone, screenshots, or high-resolution graphics that were dropped into a Word document or a slide deck. A single scanned page saved at full camera resolution can be several megabytes on its own.
That is good news, because images can be shrunk a lot before anyone notices. Lowering their pixel dimensions to what a screen or printer actually needs and saving them with slightly stronger JPEG compression usually cuts the file size dramatically while the text stays perfectly sharp.
How to compress a PDF with QodeCat
The Compress PDF tool works entirely in your browser. Your file is not uploaded to a server, which matters when the document is a contract, a payslip or an ID scan.
- Open Compress PDF and click the drop area, or drag your file onto it. It accepts one PDF at a time, up to 100 MB.
- Choose a Mode. Leave it on Recommended for most documents: it shrinks the JPEG images inside the file and keeps the text selectable and searchable.
- Pick a Quality level: Low, Medium or High. Medium is the default and a good balance. Choose Low if you need the smallest file and High if the document has photos or fine detail that must stay crisp.
- Click Compress PDF. A progress line shows which image or page is being processed.
- Check the result line, which shows the old size, the new size and how much smaller the file got. Then click Download PDF. The new file keeps your original name with "-compressed" added.
If the file is still too big, switch to Maximum mode. It turns every page into a JPEG image, which works well for scans and image-heavy documents. The trade-off is real: text in the result can no longer be selected, copied or searched. Use it only for documents that will simply be viewed or printed.
Sometimes the tool reports Already optimized. That means the compressed version would not be smaller, so your original is the best file to keep. This is common for text-only PDFs and files that were already compressed.
Other ways to make a PDF smaller
You do not always need a separate tool. Fair alternatives:
- Word and other office apps: when saving as PDF, choose the smaller or "minimum size" option instead of the high-quality one.
- macOS Preview: File > Export, then choose the Reduce File Size Quartz filter. It is quick but can make images very blurry.
- Adobe Acrobat: has a Reduce File Size feature, but it requires a paid plan.
- Rescan: if you control the scanner, scan at 150 to 200 DPI in grayscale instead of 600 DPI in color.
If the PDF is big because it bundles too much, another option is to send only what is needed. You can pull out the relevant pages with Split PDF. And if you are building a PDF from photos, shrink the photos first with Image Compressor and then combine them with Image to PDF.
Common mistakes
- Using Maximum mode on a document someone needs to search, copy from or fill in.
- Picking Low quality for scans with small print, which can make numbers hard to read. Zoom in and check before sending.
- Compressing the same file again and again. Each pass loses a little more image quality for very little gain.
- Trying to compress a password-protected PDF. Remove the protection in your PDF reader first, then compress.
- Deleting the original. Keep it until you have checked the compressed copy.
Frequently asked questions
Will compressing a PDF reduce its quality?
Text and vector graphics stay exactly as they are in Recommended mode. Only JPEG images are recompressed, so photos may lose some fine detail, especially at Low quality. At Medium most people cannot tell the difference on screen.
Why did my PDF hardly get smaller?
Recommended mode only works on JPEG images. If your PDF is mostly text, or its images are stored in another format, there is little to shrink. Try Maximum mode if selectable text is not important.
How small does a PDF need to be for email?
It depends on the service. Gmail allows attachments up to 25 MB and Outlook.com up to 20 MB, but the recipient's mail server may accept less. Staying under 10 MB is a safe habit, and upload forms usually state their own limit.
